The Role 

We are seeking a proactive and organised Administration Officer to support our operations, purchasing, and maintenance teams on a part‑time basis. This role is ideal for someone with strong systems experience (SAP, Coupa/Ariba), excellent communication skills, and the ability to coordinate spare parts, orders, and documentation in a fast-paced environment.

This is a varied administrative position supporting the day‑to‑day running of the site. You will assist with purchasing, data entry, document control, reports, and general coordination tasks across operations and maintenance.

Key Responsibilities
  • Create and process purchase orders through SAP and Coupa/Ariba.
  • Assist with spare parts ordering, stock updates, and basic forecasting tasks.
  • Read and interpret part numbers/BOMs/drawings to ensure correct items are requested.
  • Provide administrative support to maintenance and operations teams (filing, scheduling, record keeping).
  • Prepare weekly reports in Excel (stocklists, order status, ETA updates, supplier follow-ups).
  • Liaise with suppliers for order confirmation, delivery updates, and urgent requests.
  • Maintain accurate data entry and document control across systems and spreadsheets.
  • Manage competing priorities and respond effectively in a high-pressure environment.
The Candidate 
  • Strong administration background with high attention to detail.
  • Advanced Excel skills (pivot tables, lookups, basic analysis).
  • Advanced using SAP (minimum 5 years).
  • Experience raising orders and managing workflows through Coupa or Ariba.
  • Ability to read technical drawings or part diagrams.
  • Strong communication skills (verbal & written).
  • Ability to multitask and remain calm under pressure.
Desirable
  • Experience in manufacturing, engineering, spare parts, or maintenance environments.
  • Understanding of inventory or purchasing processes.
